In accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), the British Columbia Personal Information Protection Act (BC PIPA), and the Alberta Personal Information Protection Act (AB PIPA), our organization retains ultimate accountability for the personal information we collect and process.   • Interactive AI Assessment Chat: Our website utilizes an automated, interactive Artificial Intelligence (AI) conversational assistant to pre-screen inquiries and evaluate service compatibility. The system processes the operational context, practice details, and business requirements you voluntarily type into the chat interface during your session.
     

B. Information Collected Automatically
 

  • Technical and Usage Data: When you browse our website, we automatically collect certain technical details via cookies and analytical tools. This includes your Internet Protocol (IP) address, browser type and version, operating system, and data regarding how you interact with our pages.

3. Data Storage and Cross-Border Transfers

Our website infrastructure is hosted on the Wix.com platform. Your data is stored through Wix.com’s secure data storage systems, databases, and general applications behind industry-standard firewalls.
 

Wix.com operates a secure, global cloud network. Consequently, the personal information you submit through this website may be transferred to, stored in, and processed across international jurisdictions, including the United States, Ireland, and Israel. While your data is residing outside of Canada, it may be subject to the lawful access regulations of those foreign jurisdictions, including access by local law enforcement or national security authorities under valid legal orders.

We only collect and process your personal information with your meaningful, informed consent. We do not utilize pre-ticked consent boxes or bundled conditions.

In compliance with Canadian and provincial frameworks, this website operates an advanced cookie consent banner. 5. Automated Screening and Algorithmic Transparency

The AI pre-screening tool on our website analyzes your chat inputs to deliver automated recommendations regarding whether our operations packages are a suitable match for your firm's current workflow.
 

We do not utilize fully automated systems to issue final, binding service rejections. In accordance with guidelines from the Office of the Information and Privacy Commissioner (OIPC) for British Columbia and Alberta regarding automated decision-making:
 

  • Every assessment generated by the AI assistant is subject to human-in-the-loop review by our Privacy Officer.

  • If you believe the automated screening tool did not accurately represent your firm's needs, you have an absolute right to bypass the automated tool, request a human review of your interaction, and obtain an explanation of the logic utilized during the session.

6. Third-Party Data Disclosures and AI Safety

We do not sell, rent, trade, or lease your personal information to third parties. We only share data with verified service providers who assist us in operating our platform (such as our hosting infrastructure and our underlying AI model processing network).
 

Our third-party AI pipelines are connected via secure Application Programming Interfaces (APIs). All conversational text inputs are encrypted both in transit and at rest. Furthermore, our systems are contractually configured to explicitly opt-out of all machine learning and model-training protocols. Your inputs are never ingested by third-party vendors to train future algorithmic models.

7. Data Retention and Secure Destruction

We only retain personal information for as long as necessary to fulfill the operational purpose for which it was collected:
 

  • Prospective Clients: If your inquiry leads to a professional engagement, your data will be integrated into our standard client records and governed by our formal professional services agreement.

  • Unconverted Inquiries / Completed Chat Logs: If your interaction does not result in active business engagement, all associated contact details and chat history are permanently deleted and purged from our Wix dashboard, email servers, and connected system logs within 60 days.

8. Security Safeguards and Breach Notification

We protect your data using robust technical, physical, and administrative safeguards appropriate to the sensitivity of the information. Our cloud framework utilizes HTTPS/TLS 1.2 data-in-transit encryption and AES-256 data-at-rest encryption. Access to our website administration and email architecture is protected by strict Multi-Factor Authentication (MFA).
 

In the event of a security breach involving personal information that creates a real risk of significant harm to individuals, we will fulfill our statutory duties under PIPEDA and Alberta's PIPA by immediately notifying the federal Privacy Commissioner, the relevant provincial OIPC, and all affected individuals without unreasonable delay.

9. Your Legal Rights

Under Canadian federal and provincial legislation, you hold the following rights regarding your data:
 

  • Right of Access: You may request a complete copy of the personal data we hold about you.

  • Right to Correction: You may request that we amend or update any inaccurate or incomplete records.

  • Right to Erasure / Deletion: You may request that we permanently delete your personal records across our entire digital infrastructure, including our main CRM database and any integrated system applications.
     

To exercise any of these statutory rights, please submit a formal request to our Privacy Officer at the contact email listed in Section 1 of this policy.

We will respond to your verified request within 30 days at no cost to you.
